A Gmail signature can be checked without sending a message: save a named practice footer, insert it manually into a new blank compose window and compare its three lines. You will finish with an unsent preview and a short observation record, while leaving automatic signature defaults off. This is not a delivery or recipient-rendering test.
What will this check actually establish?
A signature here means a short footer you place in an email. It does not mean a digital signature on a contract or a domain authentication setting. The finished result is modest but useful: a named footer, one unsent compose window showing that footer, and a note separating what was saved from what was inserted.
Use only an authorised desktop Gmail practice account that has no existing signature and no automatic signature selection. If you already have a working footer, this beginner exercise is not a reason to replace it. Stop if the account belongs to an employer and you cannot establish whether you may change its settings.
This is a fictional training exercise, not a report of a customer rollout or a signed-in test by the author. The three lines below are control text, not a real business identity. Your preview will show what is in your compose window. It will not establish how another person receives the message, whether it reaches an inbox, or how a different email application displays it.
Keep incoming-mail tasks separate. A Gmail filter handles matching messages; it does not validate the contents of an outgoing footer. Start with one account, one new message and one named practice signature. Expanding the test makes it harder to identify which observation you actually made.
Prepare a reference before touching settings
Copy these three lines into a separate working note first. Preserve their order and spelling. You will compare against this reference after saving, then compare again after inserting the footer. Do not reconstruct the expected wording from whatever happens to appear on screen.
Practice Studio
Training only
SIG-041
Use Practice SIG-041 as the signature's name in settings. The name identifies the saved item you select; it is not an extra fourth line of the footer.
Leave out phone numbers, websites, images, social links, legal language and promotional claims. A text-only sample makes this comparison easier to inspect. It is not a promise that plain text has identical spacing or appearance in every recipient's software.
Beside your reference, make three empty fields: saved text, selected name and visible text. Leave them unanswered until you reach the relevant screen. A successful selection does not prove that the text was saved correctly, and a correct saved item does not prove that you inserted it into the intended compose window.
Create one named footer without making it automatic
- Confirm the account. Open mail.google.com in a computer browser and check that the active account is the permitted practice account. The expected starting point is the correct account, not merely a familiar-looking inbox.
- Find the signature section. Open Settings, then See all settings, and locate Signature. Check that no existing signature or automatic selection needs to be changed. If that condition fails, stop here.
- Create the practice item. Select Create new, enter Practice SIG-041 as the name and confirm with Create. Enter the three reference lines in the signature text area. The expected content is just those lines, in order.
- Keep automatic defaults off. In Signature defaults, leave No signature selected for both new messages and replies. Do not turn a training footer into the default for future correspondence.
- Save and reopen. Use Save Changes. Reopen the settings and compare the name, the saved lines and both No signature selections with your note.
Record the saved text only after reopening it. Pressing a save control is an action, not an observation of the resulting stored content. If the name exists but one line differs, record the difference rather than marking the whole stage as complete.
The English labels identify the controls described in Google's help material. They are not a screenshot or a guarantee about your account's language and current layout. If you cannot identify the matching section, do not compensate by changing the sender name, account identity or unrelated settings. There is no alternative account-configuration procedure inside this exercise.
If saving appears to change a default unexpectedly, stop with a factual note. Repeated edits would introduce a new troubleshooting task, not complete the original narrow check.
Insert the footer once into an empty compose window
Select Compose to open one new blank message rather than replying to an existing conversation. Check that To, Cc and Bcc contain no recipients. Leave the subject and message body empty as well. This starting point lets you distinguish the footer you insert from content that was already present.
Before opening the signature menu, look at the writing area. The practice footer should not already be there under this exercise's starting conditions. If it appears automatically, do not insert another copy. Record the unexpected starting state and stop.
- Open Insert signature. Identify Practice SIG-041 in the selection menu. A different name is a reason to pause, not an invitation to select the closest-looking item.
- Select it once. The expected observation is the three-line footer appearing in the writing area. If nothing appears, do not repeatedly select the item to force a result.
- Compare line by line. Check Practice Studio, Training only and SIG-041 against your reference. Count the visible copies and look at the exact code, not just the overall shape of the footer.
- Recheck the address fields. Keep To, Cc and Bcc blank. Record the selected name and the three lines you actually see.
Do not choose Send or Schedule send. The Schedule send guide covers a separate outgoing-message task; it is not a later step in this preview. Likewise, the Undo Send window is not a reason to send a test message and hope to cancel it.
A Bcc visibility check concerns who can see addresses in a message with recipients. Here there are no recipients at all. Do not add your own address, a colleague or an invented address merely to complete the footer exercise. Its output remains an unsent compose preview.
Use separate decisions for saving and insertion
Do not reduce the result to “signature works.” That phrase hides which part was inspected. Use the table below to distinguish stored content, automatic selection and the actual text in the compose window. A match in one row cannot cancel a mismatch in another.
| Observed condition | Supported conclusion | Next action |
|---|---|---|
| Reopened settings show all three lines | Saved text matches in this inspection | Inspect both automatic defaults |
| Both defaults remain No signature | The practice item is not selected automatically | Open the blank compose window |
| Correct name selected, exact text appears once | Manual insertion matches in this window | Record the blank recipient fields |
| Wrong name, altered text or duplicate footer | The expected result has not been established | Record the difference and stop |
| An existing signature or changed default appears | The exercise's starting conditions are not met | Do not change further settings |
For a fictional mismatch example, suppose the saved name is correct but the last visible line is SIG-014. Your note should say “selected name matches; visible code differs.” Do not change your reference to make the comparison pass. This is an illustration of how to write a useful observation, not a claim that Gmail produced that error.
Image sharing, browser-cache changes, permission changes and formatting repairs are outside this procedure. Google's troubleshooting material covers more cases than this exercise does. The existence of a suggested remedy does not establish that it is needed for your account. Keep a mismatch as a mismatch until a separate troubleshooting task is agreed.
Finish with an observation record, not a delivery claim
Open a new Notepad document from Windows Start, or TextEdit from Finder → Applications on Mac using File → New and Format → Make Plain Text if needed. Copy the record below and enter only observations. Save gmail-signature-check.txt in Documents with Windows File → Save As or Mac File → Save; add a date if the name exists. Close and reopen that file from Documents; verify the saved lines and unchecked statuses. Keep personal details out.
Saved signature name:
Settings reopened: yes / no
Three saved lines:

Name selected in compose:
Three visible lines:
Visible exactly once: yes / no
To, Cc and Bcc blank: yes / no

Mismatch and stopping point:
Result: observed match / mismatch / not checked
Leave uninspected stages marked “not checked”. Later previews cannot prove unperformed settings checks.
At the end, do not send, schedule, discard or delete the practice message. Leave the observed unsent state in place, without making the footer automatic. Removing the practice item or returning the account to a previous state would be a separate account-management task, not a hidden final instruction here.
The intended fifteen-minute outcome is a manually inserted text footer plus this record. That is a planning target, not a measured completion time or a promise about your interface. If the account conditions are wrong, stopping is more useful than skipping checks to meet a clock.
For a different inbox task, see how to snooze a received email. Snoozing a message does not validate this compose preview. Keep the final conclusion limited to what you saved, selected and saw.
Frequently asked questions
Is this a digital signing procedure?
No. Signature here means a visible email footer. Contract signing and sender-domain authentication are separate tasks and are not configured in this exercise.
Can I use an account with an existing work signature?
Not for this exercise. Do not replace an existing footer or change its defaults. Start only with an authorised practice account that has no signature or automatic selection.
Should I make the practice signature automatic?
No. Keep No signature for both new messages and replies. Select the named practice item manually through Insert signature in one new blank compose window.
Does a matching preview prove recipient-side appearance?
No. It establishes only what you observed in the unsent compose window. Delivery and rendering in another application have not been tested.
Should I insert it again if the text differs?
No. Record the mismatch and the stage where you stopped. Repeated insertion, formatting repairs and unrelated account changes are outside this exercise.
