how to use Gemini in Google Slides: a practical guide
Here is how to use Gemini in Google Slides: open a presentation on your computer, select Ask Gemini, describe the slide you need, then review the preview before inserting or replacing it. You need an eligible plan, and the individual slide generation feature is currently documented as desktop and English only. See Google’s slide generation instructions.
Start with something you actually need to explain this week. A service proposal, project update or staff briefing makes a useful first test. Give yourself one clear message to communicate before asking the tool to arrange it.

Which plans include the presentation tools?
Check your account before buying anything. Google’s presentation creation announcement lists Business Standard, Business Plus, Enterprise Standard, Enterprise Plus, Google AI Pro and Google AI Ultra. It also describes the initial launch as English only: Google’s availability announcement.
Gemini is the AI assistant you give instructions to inside Slides. Its documented tasks include generating slides and images, rewriting content, summarizing presentations and referencing Drive files. Drive is the file storage location used for those references: Gemini in Slides overview.
What should you check if the button is missing?
Confirm which account you are using and identify its subscription. For a company account, ask the person managing it to check access to the specific Slides feature. Send them the feature name and the official instructions, rather than a general request for “more AI.”
Keep your first purchasing decision narrow. Decide whether you need help with an existing presentation or want to generate a complete draft. Compare that need with the access you already have, then test the relevant workflow.
How do you create your first slide?
Open a presentation on your computer and choose Ask Gemini at the top right. Enter an instruction describing one slide, then inspect the preview. The individual slide tool generates one slide at a time: single-slide workflow.
- Choose one message the audience needs to understand.
- Gather the approved facts supporting that message.
- Describe the audience, content and desired layout.
- Review the generated slide against your original material.
- Insert it only when you are ready to keep working on it.
When should you generate a complete presentation?
Use the separate Generate presentation workflow when starting a new presentation. Google describes opening Gemini in a blank presentation, supplying instructions and reference files, reviewing an outline, then approving generation. Reference material can include Docs, Sheets, PDFs and previous presentations: complete presentation workflow.
My recommendation is to review the outline as carefully as the finished slides. Write the purpose of each proposed slide beside its title. Remove anything that does not help the audience understand the offer or make the intended decision.
For a client pitch, settle the offer before generating the presentation. Use the business proposal guide to organize scope, deliverables and the next step. Bring that approved material into your slide task.
What should a good slide prompt include?
A prompt is the written instruction you give the assistant. Write it as a short brief for a colleague: explain who will see the slide, what it must communicate and which material it should use.
Hypothetical example: a freelancer’s project proposal
Imagine a freelance marketer preparing a proposal for a small retailer. The retailer needs to understand what happens first, who supplies the material and what remains outside the agreed scope. Try this instruction after replacing the placeholders.
Create one proposal slide for a small retail business owner. Use only this approved scope: [paste scope]. Show the deliverables, the client's responsibilities and the next approval step. Use plain English and short bullets. Do not add services, deadlines or performance promises that are missing from the scope.
Check the resulting slide against your agreement. If a deadline is still being negotiated, leave it unresolved in the source material. Do not ask the assistant to turn uncertainty into a confident promise.
| Include | Useful instruction | Your review question |
|---|---|---|
| Audience | Write for a store owner with no marketing background. | Is the language understandable? |
| Purpose | Explain what needs approval before work starts. | Is the decision obvious? |
| Evidence | Use only the attached scope. | Did any new promise appear? |
| Layout | Use a heading and three short sections. | Can I scan it easily? |
Hypothetical example: an operations update
Create one slide for our weekly operations meeting from the attached notes. Separate completed work, blocked work and decisions needed. Keep proposed actions separate from approved actions. Where an owner or date is missing, mark it for confirmation.
Before running this request, remove outdated notes and identify the current version. If the brief itself needs work, continue with using Gemini in Google Docs. Approve the source text before asking for its presentation version.
How do you insert, replace and match the design?
In the individual slide preview, open the arrow beside Replace and choose Insert to add a new slide. Choose Replace to overwrite the selected slide, or Close to dismiss the preview. These are the documented controls: inserting and replacing slides.
For your first attempt, I recommend inserting a separate version. Compare the two slides for clarity and missing information before deciding which one to keep. Treat the preview as a draft awaiting your judgment.
Use an approved presentation as the style reference
Select Match a presentation style, choose Add from Drive, select your reference presentation and click Add. Google also documents editing a current slide’s content or design through a new instruction: style matching and slide editing.
Choose a reference that already reflects the appearance you want. Check its logo, colors and heading style first. If your team has no agreed visual direction, use the small business branding guide to settle those choices.
Keep the approved offer and all stated conditions. Shorten the explanation to three bullets. Arrange the content in two columns, with a clear next step at the bottom.
Request one meaningful change at a time. First fix the message, then review the layout. After each revision, compare the commercial terms with your approved source.
What else can Gemini do inside Slides?
Use the assistant for a specific missing piece: an image, a shorter explanation or a summary. Google documents those capabilities alongside referencing Drive files: supported Slides tasks.
Bring in your own evidence
Type @ to select a source file, or use Add sources and Add from Drive. Open Sources to inspect the files Gemini used: working with reference files.
For a monthly report, select the approved reporting file and check the period, currency and measure names. Prepare unclear spreadsheet labels before creating the slides. The Gemini in Google Sheets guide is a related next step.
Create an illustration
For image generation, open Ask Gemini, select Tools and Create images, describe the picture, then preview and insert your choice. Google provides this sequence in its image generation instructions.
Hypothetically, a bakery could request a simple illustration showing an order moving from request to collection. For a specific cake being sold, I would use the bakery’s actual photograph. Keep illustrative material clearly separate from evidence of the product customers will receive.
Use a summary as a review aid
Gemini can summarize a presentation and rewrite its text, according to Google’s collaboration guide. Ask for a short summary, then compare it with the message you intended. If they differ, review the slides before polishing their appearance.
How should you review the first draft?
Review the presentation as something a customer or colleague may act on. My suggested order is facts, meaning, readability and appearance. Fix a wrong promise before adjusting a color.
- Match every number to the approved source.
- Check names, dates and the reporting period.
- Separate completed work from planned work.
- Confirm that prices and service conditions remain unchanged.
- Read headings without the body text to check the story.
- Make the requested next step explicit.
For a first team trial, assign one person to check the content and another to review readability. Keep a short note of the original request and the corrections required. Use the team AI training guide when turning that trial into a shared routine.
Judge the finished presentation, including the work needed to correct it. Save a prompt only after reviewing its output. On the next task, update the audience, source material and purpose instead of reusing the old brief unchanged.
What do business users commonly ask?
Can Gemini create a whole presentation?
Yes. The separate Generate presentation workflow creates a presentation after you review and approve its outline. The individual slide workflow handles one slide at a time. Presentation creation details.
Does Insert replace my existing slide?
No. Insert adds a slide. Replace changes the selected slide. Use Insert when you want to compare a draft with the original. Preview controls.
Can I use my existing presentation’s style?
Yes. Use Match a presentation style, then Add from Drive to select a reference presentation. Review the result before keeping it. Style reference instructions.
Which plans include full presentation creation?
Google lists Business Standard and Plus, Enterprise Standard and Plus, Google AI Pro and Google AI Ultra. Check your existing subscription before purchasing another plan. Eligible plans.
Can I generate slides in any language?
Google’s individual slide generation instructions specify desktop and English only. Plan a separate language review for presentations intended for other audiences. Language availability.
Where can you verify the instructions?
Use the guide matching your task when checking a control or feature. For full presentation access, consult the announcement listing eligible plans.
