A stock count discrepancy needs a matched source scope before any subtraction is useful. Use six fictional records to create an exception sheet with signed differences, unresolved fields and follow-up questions, without changing an inventory system.

What makes a book quantity comparable with a count?

A stock count discrepancy is a comparison between two separately preserved sources. The book figure is a recorded quantity at an agreed cutoff, while the count figure represents a separate observation. Both sources in this exercise are fictional. No physical warehouse visit, accounting correction or inventory-system operation has taken place.

Use one stock-keeping unit, or SKU, for a particular product variant. Product names alone are insufficient: two similarly named items may have different sizes or pack units. Before subtraction, match the product identifier, variant, location, measurement unit and cutoff. Equal-looking numbers from different locations do not establish agreement.

Write the contract: “Practice V1; B1–B6; preserve each source ID once; unit pieces; retain the original book snapshot; compare only matched scope and a known count.” Assume the fictional sources refer to one frozen point with no intervening movement. In a real operation, movement during counting would need a separate reconciliation process rather than an undocumented assumption.

This is a discrepancy-review exercise, not an invitation to post stock adjustments. It produces an exception sheet with a source question and responsible role beside each unresolved record. The low-stock alert guide concerns thresholds and notifications; neither of those decisions is made here. A negative difference is not automatically a reorder signal or evidence that goods were stolen.

Preserve six source rows before deciding what to subtract

The first four identifiers have confirmed matching scope. B1 contains book eight and count seven; B2 contains four and six; B3 contains five and five; B4 contains two and one. Keep the original quantities even when the difference seems obvious. Replacing the book number with the count would erase the evidence being reviewed.

B5 has a book quantity of three but no supplied count. B6 has four in both columns, yet the location has not been confirmed. The missing information is deliberate. It demonstrates two reasons why a plausible numeric answer should not be produced. Unknown count and uncertain scope must remain visible in the saved record.

IDSKUBookCountScope
B1Practice-187Matched
B2Practice-246Matched
B3Practice-355Matched
B4Practice-421Matched
B5Practice-53unknownMatched
B6Practice-644Location unconfirmed

Practice-1 through Practice-6 are invented product codes, not real stock. All stated quantities use pieces. We do not infer a box size, translate a package quantity or assign a location. If a real source uses different units, its conversion rule must be established separately before comparison.

Label the two source versions V1. If a recount later produces a new observation, preserve the earlier record and add a new version. Do not silently compare a refreshed count with an earlier book snapshot. The blank and zero audit gives another example of keeping unknown membership distinct from a genuine numeric zero; it does not authorize filling the missing count in this card.

Calculate only after the scope gate has passed

Subtract book from count, in that order. For B1, seven minus eight is negative one. For B2, six minus four is positive two. B3 gives zero, while B4 gives negative one. A negative sign means the supplied count is below the book quantity, not that the cause has already been identified.

B5 receives no numeric difference because its count is unknown. B6 also receives no difference because matching location is unconfirmed. Do not write zero simply because its two displayed quantities are both four. A scope hold is a different status from a matching quantity, and the note should preserve that distinction.

IDDifferenceDecision
B1-1Mismatch
B22Mismatch
B30Quantity matches
B4-1Mismatch
B5—Unresolved
B6—Unresolved

There are six source rows, four comparable rows, three mismatches, one matching quantity and two unresolved rows. Record those separate counts rather than announcing that only half the source is wrong. The two unresolved records have not been established as either correct or incorrect.

The signed differences across comparable rows sum to −1+2+0−1=0. That arithmetic control does not clear the three mismatching product records. Different products do not cancel one another as evidence. Keep the per-ID findings even when the combined number is zero. The running-balance audit instead traces a sequence of movements for one balance; this sheet compares two frozen sources without reconstructing event order.

Turn each exception into a question rather than an invented cause

For B1, write: “Can the counting role confirm the same product variant, location and cutoff through a recount, and can the book-source owner confirm the recorded quantity?” The question does not claim a recount has happened. If no answer has been supplied, retain an unresolved cause and a pending follow-up.

Use the same discipline for the positive difference at B2. An apparent surplus is not automatically good news or a reason to update a system. For B4, a second negative result does not establish that it shares B1’s cause. Each identifier needs its own evidence before findings can be grouped into a common explanation.

B5 needs a count observation; B6 needs location confirmation. Assign teaching roles rather than inventing real employees: “counting colleague” and “book-source owner.” In actual work, names, authority and follow-up timing must be agreed. A written role in a fictional note is not evidence that someone accepted the task.

Microsoft’s journal documentation distinguishes expected and counted quantities and warns against losing the originally calculated lines. Its document workflow explains matching item, variant, location and bin information. Those are narrow documentation principles, not proof that every inventory application behaves identically. The sources also discuss posting, which this manual exercise does not perform. The spreadsheet prompt examples can help describe required columns and outputs; no spreadsheet formula execution is needed for this card.

Review three claims without turning the sheet into approval

Claim one says: “The combined discrepancy is zero, so all stock is correct.” Reject it. B1, B2 and B4 still differ, while B5 and B6 remain unresolved. A useful evidence note names those identifiers rather than replacing them with a reassuring total. The comparison covers only this supplied practice card, not an entire warehouse.

Claim two says: “No count means zero goods.” Reject it. B5 contains no observation of zero; it contains missing information. Those situations would lead to different subtraction results, so they cannot be treated interchangeably. Leave the numeric difference blank or marked with a dash and explain why.

Claim three says: “A negative difference establishes theft and authorizes an adjustment.” Mark it unsupported. The arithmetic identifies a disagreement between two sources, not its cause, legal meaning or permitted corrective action. A recount and source review might resolve it differently. No financial, tax, valuation or compliance conclusion is drawn here.

The two external references come from Microsoft, not two independent institutions. They support separating expected and counted quantities and preserving matching source scope. They do not certify our fictional card or establish that a business is compliant. The artificial intelligence guide provides general context if an assistant is used later; an assistant approving its own explanation would not replace human evidence review.

What should survive saving and reopening the review note?

On Windows, open Start, type Notepad and launch the editor. Create a new blank document. Use the heading “Stock count discrepancy review V1.” Copy the contract, six original records, scope decisions and four completed subtractions. Keep B5 and B6 with their different unresolved reasons. The original quantities and identifiers must remain visible beside the derived findings.

Before saving, add the three claim decisions and evidence, the recount and source questions, and the responsible teaching roles. Include the statement “No system adjustment or posting has been performed.” Press Ctrl+S, choose Documents and save as stock-count-review-V1.txt. Close the editor, reopen the file and verify B2’s positive two, B4’s negative one, B5’s unknown count and B6’s unconfirmed location.

An optional assistant comparison should use only the fictional source and request preservation of all IDs, unknown values, scope holds and signed differences. If no model was run, record that explicitly. Do not upload real customer information merely to complete the practice. The manual note is a useful deliverable even without any AI account or software integration.

A suggested fifteen-minute allocation gives three minutes to source scope, five to arithmetic, three to claim decisions and four to saving and reopening. This is a cognitive planning allowance, not a measured participant result. In earlier public writing about perfection and effectiveness, I described delaying projects while pursuing details. The application here is finishing one reproducible exception note, not claiming a personal stocktaking experiment or a customer outcome.

Frequently asked questions

Does an unknown count mean zero?

No. Unknown means no count observation was supplied. The difference stays unresolved until the missing source is obtained.

Are equal quantities enough to establish a match?

No. Product, variant, location, unit and cutoff must also match. B6 remains unresolved despite showing four in both columns.

Does a negative discrepancy establish theft?

No. It identifies a difference between supplied sources. Its cause requires separate evidence and review.

Does this note authorize an inventory adjustment?

No. The exercise creates a review record only. It performs no posting, inventory update, financial valuation or compliance assessment.
