Warehouse bin lookup should return every recorded place for an item without confusing a product code with a location. This exercise produces a four-position directory, five lookup answers and one precise question about a missing address.
Updated: 17.10.2026
What does a location code identify?
An item code answers what the product is. A bin code answers where it is recorded within a physical storage layout. A bin is a named storage position, not necessarily a freestanding plastic container. In this exercise a shelf position can be a bin. Keep the product identity separate from that address.
We will build a fictional packing-supply store map with four positions. It is not an observed warehouse, a performed walking test or advice about safe racking design. There are no quantities, capacities, distances or picking priorities. The useful outcome is a directory, a product-to-place lookup and a precise question about the one missing address.
This differs from the stock discrepancy review card, which compares quantities under matching identities. Here you establish an understandable place reference before anyone counts or adjusts anything. A location reference can be internally consistent even when nobody has checked the physical shelf yet.
How should the four-position directory be written?
Use DEP1 as the fictional site prefix. R01 and R02 name rack sections, while S01 and S02 name shelf levels within them. These letters and separators are an exercise convention, not a universal industry standard or a promise that a particular system accepts them. Write the meaning beside each complete code.
| Complete code | Declared meaning |
|---|---|
| DEP1-R01-S01 | DEP1 site, R01 section, S01 shelf |
| DEP1-R01-S02 | DEP1 site, R01 section, S02 shelf |
| DEP1-R02-S01 | DEP1 site, R02 section, S01 shelf |
| DEP1-REVIEW | fictional place awaiting a placement decision |
A directory prevents readers having to guess whether R01 is a room, rack or aisle. It must also avoid assigning one complete code to two different places. The short instruction R01 still lacks a shelf choice in this model. Giving it a friendly label does not resolve that ambiguity.
DEP1-REVIEW is a supplied place name, not a software control. Its name does not automatically block sales, establish quality status or authorize moving goods into it. Those would require separate business rules and checks. A product can have a known address while other decisions about it remain unresolved.
The English model uses different labels but the same relationships as the Azerbaijani model. DEP1-R01-S01 maps to WH1-A01-L01, DEP1-R01-S02 to WH1-A01-L02, DEP1-R02-S01 to WH1-B01-L01 and DEP1-REVIEW to WH1-HOLD. This mapping preserves the expected lookup outcomes, not an observed physical equivalence.
Which product-to-place relationships are supplied?
Keep the directory separate from the item mapping. Every line below says that one fictional SKU is recorded at one position. SKU means the business’s internal product identifier. A repeated SKU with a different complete location is not automatically a duplicate error, and a shared location does not merge two product identities.
| SKU | Product | Supplied location |
|---|---|---|
| P-TAPE | packing tape | DEP1-R01-S01 |
| P-TAPE | packing tape | DEP1-R02-S01 |
| P-BAG | paper bag | DEP1-R01-S02 |
| P-LABEL | label roll | DEP1-R01-S02 |
| P-CARTON | folding carton | DEP1-REVIEW |
| P-WRAP | wrapping paper | unknown |
There are five product identities and six relationship lines. P-TAPE maps to Azerbaijani SKU-TAPE; P-BAG to SKU-BAG, P-LABEL to SKU-LABEL, P-CARTON to SKU-BOX and P-WRAP to SKU-WRAP. The tape has two places, the bag and label share one place, the carton has a declared review place and the wrap has no known address.
Do not copy the carton address into the wrap line merely to eliminate an empty field. Unknown is an information state, not another physical bin. The category and filter plan concerns where shoppers find products in a catalog; a category such as Packaging is not a physical shelf address.
What should the five lookup questions return?
First ask where P-TAPE is recorded. Return DEP1-R01-S01 and DEP1-R02-S01. A first-match-only lookup would lose a supplied relationship. Neither line is designated the primary or preferred picking position. You cannot infer a route or priority from the order in which the rows happened to be written.
Second ask where P-LABEL is recorded. Its complete answer is DEP1-R01-S02. The same address also appears for P-BAG, so a person reaching that shelf still needs the correct product identity. The address narrows where to look; it does not make every object at that address interchangeable.
Third inspect the instruction “go to R01”. Mark it incomplete because two shelf levels exist under that section. Request the complete code rather than silently picking S01. Fourth ask where P-WRAP is recorded. Return unknown and raise a question; do not substitute DEP1-REVIEW or claim the product is missing from the whole warehouse.
Finally reverse the lookup: which products are recorded at DEP1-R01-S02? Return both P-BAG and P-LABEL. This is a separate direction of lookup, useful for checking a proposed label list. It still says nothing about how many units of either item are present or whether they can cover an order.
The new commitment check addresses quantities and prior commitments. A recorded address cannot answer that question. Likewise the FEFO batch plan concerns date-based batch choice. This directory has no batches or dates from which such a choice could be made.
How do you complete a small lookup note?
Step one is the directory. Write the four complete codes with their declared meanings, producing one unambiguous meaning per code. Step two is the mapping table: copy all six relationship lines without inventing quantities. Expected output is five distinct product identities, not six products created from the six rows.
Step three checks reference integrity. Every known address in the mapping must appear in the directory. All four known address codes do. P-WRAP remains unknown, so it is not treated as an undeclared fifth location. Expected output is one unanswered location question, not a guessed placement.
Step four records all five query outcomes. You should have a two-address answer, a single complete address, an incomplete instruction, an unknown answer and a two-product reverse lookup. Step five gives both input and answers to another person for recomputation. This is a proposed review step, not a claim that an employee or user actually performed it.
Use fifteen minutes as a planning allowance for this bounded note. It is not a measured completion time or promise of a faster warehouse. The receipt review addresses whether delivered items match purchase lines. Receipt approval does not establish their final recorded storage position unless that information is separately supplied.
What should remain in the handoff template?
Copy this skeleton into a new local note and fill it from the fixed exercise. For real use, a later job must inspect the physical labels, place meanings and actual item locations. Do not describe this paper model as that inspection. No goods have been moved and no business application has been configured.
Location lookup V1 Directory: complete code | declared physical meaning Mapping: SKU | complete location or unknown Forward lookup: return every matching location. Reverse lookup: return every SKU at the selected location. Open question: what is the complete location for P-WRAP? Incomplete instruction: R01; request the complete code.
Two Microsoft Learn documents support the conceptual distinction between warehouse positions and codes, and the value of planning the naming structure before configuration. They belong to one authority, not two independent studies. The setup page shows an update of 18 May 2026 and the creation page 21 August 2025. We do not reproduce application menus or claim compatibility of our invented codes.
The equipment checkout register instead tracks custody of individual devices. A person holding a laptop is not a warehouse bin for a sellable SKU. Keeping these outputs separate avoids quietly replacing place references with staff names or treating a product list as a signed custody record.
How do you preserve and reopen the result?
On Windows, open Start, find Notepad and create a blank document. Add the directory, all six mapping lines, five query decisions and the P-WRAP question. Save the note as location-lookup-V1.txt in Documents with Ctrl+S. Close the editor, open Documents in File Explorer and reopen that same named file.
Check that tape still has two addresses, the shared shelf still has two product identities and wrap still has unknown location. The abbreviated R01 instruction must remain unresolved. This readback checks the saved artifact and its logical consistency, not the real presence, condition, quantity or availability of any stock.
In earlier public writing about perfection and effectiveness, I described projects delayed by my own pursuit of perfection. The principle used here is finishing a small inspectable result before expanding the system. This fictional directory is not evidence of my performing an actual warehouse project, achieving a picking-time improvement or testing a real employee.
Frequently asked questions
Can one SKU have two recorded locations?
Yes. P-TAPE has two different complete location references in this exercise, and both should be returned.
Is R01 a complete location code?
No. This exercise has two shelf levels under R01. Request the complete code rather than choosing one.
Can unknown location be replaced with DEP1-REVIEW?
No. P-WRAP has unknown location. DEP1-REVIEW is supplied only for P-CARTON.
Does a known address establish that stock is ready to sell?
No. This note does not decide quantity, reservations, quality or availability for an order.
