What Is ChatGPT? How It Works and What It Can Do
What is ChatGPT, how does it work and what can it do? Modes, strengths and weaknesses, plus practical rules for building good prompts — all in one guide (2026).

What is ChatGPT — in one sentence, it is a generative AI service built by OpenAI, used for natural-language question answering, writing, analysis and working with tools. It is not the name of a single model: inside the product, different models, search, file analysis, images, voice, memory and agent-style working modes can combine. That is why the answer to "what does ChatGPT know?" changes with the selected mode, plan, permissions and task.
The most common mistake is treating it as a talking search engine. ChatGPT can generate text, but it does not pull every sentence from a ready-made fact base. If the search or source tool is not running, there may be no verified reference behind a fluent answer. The comfortable interface hides this difference; it does not remove it.
Update note: capabilities and menus were verified as of 30 July 2026. Because OpenAI updates the product frequently, confirm the availability of a specific mode in the tool picker of your own account and on the official release notes page.
How does ChatGPT work?
ChatGPT is built on a large language model that converts the user's written or spoken instruction into context and calculates the next suitable tokens. A token can be a word, part of a word or a symbol. The model builds its answer step by step. A sentence looking convincing does not mean it was separately verified against a fact base.
The model first learns language relationships from large volumes of data, then is aligned to tasks using human feedback and safety methods. During use, the prompt you write, the context of the conversation, active memory and connected tools can all influence the result. A broader explanation of the technical mechanism is given in the generative AI guide.
When ChatGPT uses tools, the process changes. Search finds current web pages, data analysis runs code and performs calculations, the image tool creates visuals, and a connected app can look at a permitted document. The language model can plan which tool to call when, then merge the results into its answer.
Here the model must be separated from the product. The model is a computational engine working with text and other formats. ChatGPT is the service that presents that engine with conversation history, projects, files, apps, safety features and a user interface. When the model name changes, the product remains; when a new tool arrives in the product, the underlying model may stay the same.
What can ChatGPT do?
ChatGPT can do far more than write text: analyse files, calculate in spreadsheets, search the web for sources, explain and edit images, hold voice conversations, keep project context and, in some modes, execute long tasks in steps. Not all capabilities are open in every plan, country or workspace at the same time.
| Mode or tool | Suitable work | What the user checks |
|---|---|---|
| Standard chat | Explanations, drafts, ideas, edits and quick questions | Facts, tone and task fit |
| Search | Finding current and niche information with web sources | That the link really supports the claim |
| Data analysis | Files, spreadsheets, calculations, charts and structural analysis | Column meanings, formulas and interpretation |
| Deep research | Multi-source, staged research with a documented report | Source selection, coverage and conclusions drawn |
| Work | Carrying longer jobs end-to-end with files and apps | The plan, permissions, changes and final artefact |
| Images and voice | Visual creation/editing, voice dialogue and transcription | Meaning, copyright, wrong details and privacy |
According to OpenAI's deep research documentation, this mode uses the web, uploaded files and active apps, shows its plan in advance, allows changing direction mid-process and lets you verify the result with citations. For a quick fact, standard search fits better. Deep research is for time-consuming questions that compare several sources.
ChatGPT Work, introduced on 9 July 2026, is an agent mode for longer tasks. The official ChatGPT release notes state that Work is designed for researching information, working with connected apps and files, and producing documents, spreadsheets, presentations, reports and sites. The user can follow progress, answer questions, change direction and approve important actions.
The memory feature can draw relevant context from previous conversations and saved notes. This helps avoid retyping the same preferences, but it can also carry old, wrong information into an answer. When memory sources are visible, a healthier habit is checking which note influenced the answer and deleting what is no longer needed.
How to get better results from ChatGPT
A good prompt does not have to be long; the goal, context, input material, constraints and output format must be clear. "Write a marketing plan" is a broad task. "Prepare a 90-day plan for a B2B software product in Baku; show audience, channels, weekly metrics and risks in a table; do not use fabricated statistics" is a task that can be checked.
- Name the outcome: say whether you want a decision, a draft, a table, a summary or code.
- Give context: add the audience, purpose, language, date and material to be used.
- Set boundaries: say not to use invented sources, sensitive data or unverified numbers.
- Write acceptance criteria: show which parts a good answer must cover.
- Request verification: ask it to flag uncertain claims and to show sources separately.
- Stage the work: run big jobs as plan first, then parts, then a final edit.
Rather than settling for one answer, approach it like an editor. Ask what assumptions it used, what it does not know, and which part requires a primary source. Then open the sources and verify numbers, quotes, legal norms and product features. For prompt structure, the effective prompt guide provides more practical examples.
When you upload a file, do not just say "analyse it." Write what the columns mean, how blank values should be read, the date range and the metric you want. Even if the model can technically read the file, it does not know on its own which internal rule defines an "active customer" in your company.
Where does ChatGPT go wrong, and what should not be trusted?
ChatGPT can invent facts, attach sources incorrectly, miscalculate and present one perspective as settled truth. OpenAI's own "ChatGPT doesn't know everything" document openly notes that a confident tone is not reliability, and that the knowledge cut-off date and site-access limits affect answers.
A hallucination is the system creating content that fits linguistically but is factually wrong. This error is especially dangerous when the user demands a concrete answer and the model lacks sufficient information. Instead of "I don't know," a convincing continuation can emerge. Verification methods are shown separately in the article on protecting yourself from AI hallucination.
- For laws, prices, product features and current news, open a dated primary source.
- Look for quotes in the original document; appearing inside quotation marks does not make them real.
- Re-check calculations with data analysis or a separate calculation.
- Have medical, legal and financial decisions confirmed by a qualified specialist.
- Do not release important code to a live system without tests, review and a security check.
It is more honest to position ChatGPT as a fast drafting and analysis assistant rather than the final decision-maker. In low-risk work this collaboration usually saves money. In high-risk work, sources, audit trails and human responsibility come before speed.
How is information written into ChatGPT managed?
In the consumer ChatGPT service, content may be used to improve the model, and the user can switch off "Improve the model for everyone" in the Data Controls section. OpenAI's data-usage policy dated 13 March 2026 separates the consumer service from business products: Business, Enterprise and API inputs and outputs are not used for training unless the organisation separately consents to data sharing.
Temporary Chat does not appear in history, does not create memory and is not used for model training. The official Data Controls FAQ states these conversations are deleted from the systems after 30 days, with limited review possible for abuse monitoring. Even this mode is not a licence to enter confidential information without thinking.
Before personal data, customer lists, contracts, passwords, API keys, medical information or undisclosed financial figures are pasted into a prompt, the organisation's rules must be checked. If a connected app exists, separately review which files and operations you have permitted. Minimum permissions, only as much data as needed, and a deletion rule are a good start.
Data control is not just one toggle. The account plan, the workspace admin policy, active memory, connected apps and the mode in use produce the outcome together. Before a team starts using it, which data is prohibited, which must be anonymised and which is free should be turned into a written rule.
Frequently asked questions about ChatGPT
Is ChatGPT free?
ChatGPT can have free and paid plans, but limits and features vary. Check the current pricing, models, tools and country availability from the plan page in your ChatGPT account and OpenAI's official information.
Can ChatGPT access the internet?
If search, deep research or a suitable agent tool is active, it can look at current web sources. A standard answer arriving without sources does not mean it was checked online. The user must still open the links in the answer and confirm the claim exists in the source.
Is text written with ChatGPT always plagiarism?
No, but it is not automatically original or legally risk-free either. Compare the output with other sources, verify quotes, avoid blindly imitating a copyrighted style, and apply human editing to the final text.
Does ChatGPT work well in Azerbaijani?
It can write and understand Azerbaijani, but the risk of errors remains in terminology, suffixes, mixing with Turkish and local facts. Official and publishable text should pass language editing, and local facts should be checked against Azerbaijani sources.
ChatGPT is not an answer; it is a working environment
ChatGPT's value lies not in knowing everything but in breaking vague work into stages through conversation. With the right context, the right tool and serious verification, it creates a fast environment for drafting, research and analysis. If any of those three is missing, the speed simply delivers the mistake sooner.
For a first use, pick one real task, write the acceptance criteria beforehand and record the corrections you make to the output. Then compare whether doing the same job with search, deep research or the Work mode genuinely created value. The evidence you gather, not the product's name, should make the decision.
