An Excel drop-down list gives a manual status column a shared set of choices. Prepare a fictional ten-order worksheet and a checking note that separates expected behaviour from what you actually observe.

Last updated: 18 October 2026.

What does this Excel drop-down exercise deliver?

You will prepare a small order-status entry area and an acceptance note explaining what you checked. The output is not an order-management system. Selecting a label does not confirm a payment, book a courier or tell a customer that a parcel has left your premises.

This guide concerns Excel on a Windows desktop. Data validation means a rule for acceptable cell entries. A drop-down offers choices from a prepared list. Keep those definitions separate from business approval: a permitted label can still describe the wrong real-world situation.

The example is fictional, not a client case or a measured productivity result. No Excel interface, save-and-reopen sequence or paste operation was executed while preparing this article. The proposed checks below distinguish expected behaviour from observations you must record yourself.

If you currently ask an assistant to explain spreadsheets, the Excel prompt guide covers that separate activity. Here the useful finish line is deliberately smaller: one manually configured list, ten input cells and a note another person can inspect without guessing your assumptions.

How should you arrange the practice worksheet?

Use a blank workbook with one worksheet. Put Order in A1, Status in B1 and Allowed labels in E1. Enter fictional references R101 through R110 in A2:A11. Leave B2:B11 empty. Keep C and D unused so the source list remains visually separate from the order records.

The four choices below belong in E2:E5. These are training definitions for a fictional repair-parts shop, not recommended fulfilment rules for every business. Write one choice in each cell. Leave the heading out of the allowed values and remove accidental duplicate labels before configuring anything.

CellLabelMeaning for this exercise
E2ReceivedAwaiting review
E3PickingPreparing the items
E4DispatchedDispatch has been recorded
E5CancelledNo further processing

Decide what the words mean before discussing formatting. Received is not a delivery promise. Dispatched is not evidence of a particular carrier scan. In a real process, the person responsible must define the evidence required before choosing that label.

The source range is fixed for this exercise. Adding another word below E5 is a change request, not proof that the new word belongs to every existing rule. Finish the four-choice version first. Put future requirements in the handover note instead of silently expanding the exercise halfway through testing.

For a different platform and a broader intake workflow, the Google Sheets automation guide discusses handoffs and implementation briefs. Its Apps Script discussion does not establish how this Windows Excel entry rule behaves.

How do you configure the ten input cells?

  1. Select B2:B11, then open Data → Data Validation.
  2. Under Settings choose List in Allow. Set Source to =$E$2:$E$5 and enable In-cell dropdown.
  3. Under Error Alert enable the invalid-entry alert and select Stop. Use a short instruction such as Choose an allowed status.
  4. Confirm with OK. Inspect one target cell and compare the offered choices with E2:E5.

Microsoft's list guide supports this configuration. Warning and Information are not equivalent to Stop: they can allow an invalid entry to continue. Copy the chosen style into your acceptance note rather than relying on the appearance of the drop-down arrow.

Keep the scope visible. B1 is a heading, B2:B11 is the input area and B12 is outside it. Do not describe the entire column or every future order as covered. A narrow range is useful here because both endpoints can be checked against the written specification.

If the command is unavailable, investigate the workbook state before continuing. Do not invent a workaround that changes a protected operational file. This is an exercise in a blank workbook. A mismatch between your interface and these steps belongs in the observation column, not in a fabricated success report.

After setup, pause before entering the test cases. Read the source list aloud and compare its spelling with your original four labels. This is an editorial check of your own training data, not a claim that the application has validated the business meaning of each status.

What should the acceptance note contain?

Open Notepad from Start on Windows and create a new document. For each case, write separate fields for the case, expected behaviour, observed behaviour, decision and follow-up. Leave observed behaviour blank until you perform the case. A checklist copied from a tutorial is a test plan; it is not evidence that your workbook passed.

CaseExpected behaviourRecord yourself
Open B2 choicesFour source labels offeredLabels actually shown
Type Received in B3Allowed value acceptedActual entry outcome
Type Done in B4Active Stop rejects the invalid typed entryAlert and outcome
Inspect B11Last target has the same listEndpoint result
Reopen saved fileSaved configuration can be inspectedActual reopened state

Done is intentionally absent from the source list. If an alert appears, record what it says and leave the invalid value out of the working exercise. If no alert appears, inspect the selected range, source and alert setting. Do not change your observation simply because the expected result sounds authoritative.

Checking B11 matters because a successful first cell does not establish that you selected the complete range. Record the address beside the result. Do not use B12 as evidence of failure: it was never part of the agreed target. Testing should compare the workbook with the specification you actually chose.

Keep the order references unchanged during these checks. A useful before-and-after note identifies which fields you intended to modify. If you edit a reference accidentally, record that as a separate mistake rather than presenting the status rule as a mechanism that protects unrelated columns.

For a wider review of operating choices, the business cost review is background reading only. Do not calculate savings from this exercise without observing preparation, correction and review time in your own process.

Why must pasting remain a separate question?

Microsoft explains that validation messages target direct entry; copying or filling can bypass those messages. Existing invalid values are not automatically reported simply because validation is added. Stop therefore must not be presented as an all-purpose import safeguard.

If you investigate pasting, use a separate copy of the training workbook. Record the source cell, destination and paste method. Ask two questions: did the unexpected value enter, and does the intended rule remain at the destination? The displayed word alone does not answer both.

No paste result is supplied here. Mark that case Not run until you actually perform and inspect it. A successful case with one method would not prove that every other paste method, import or future workbook edit is controlled. Avoid turning a small observation into a universal claim.

For records arriving from another system, specify a separate review against the approved vocabulary. A drop-down arrow is not evidence that every imported status has been reviewed. Keep any downstream customer notification outside this practice workbook until the wider process has its own acceptance checks.

The sales follow-up guide concerns another workflow. Read it only when you have a separate brief for customer communication. This exercise authorizes neither an automated message nor a decision based on an unverified status label.

What should you save and hand over?

In Excel, choose File > Save As > Browse, select Documents, name the file order-status-practice.xlsx and choose Excel Workbook (*.xlsx), then Save. If that name exists, add a date without overwriting it. Close the workbook, then reopen that exact file from Documents in File Explorer. Inspect B2, B11 and the four source cells. These are instructions for your own verification, not a report that the save-and-reopen test has already succeeded.

Attach a note stating the file name, worksheet, fixed source E2:E5, target B2:B11 and chosen Stop style. Include the exact fictional labels. Separate completed observations from planned cases. Another person should be able to identify the file and the cells without asking which version you meant. In Notepad, use File > Save As to save the note as order-status-check.txt in Documents; add a date if that name exists. Close the note, reopen that exact txt from Documents in File Explorer and check the filename, ranges and recorded observations.

A reusable handover statement is: This is a fictional manual-entry exercise. The source is E2:E5 and the target is B2:B11. Attached observations cover only the cases actually performed. Paste and reopening remain unverified unless their results are recorded. No real customer action is authorized by this workbook.

Ask the recipient to explain the boundary back to you: what the rule controls, what it does not establish and where to record a mismatch. If the explanation becomes an entire automation project, return to the narrow acceptance note. Finish one inspectable deliverable before adding another tool.

For the separate question of collecting customer feedback, see the survey workflow guide. It is not an extension of this validation rule. Keep the practice workbook free of real customer details while learning and checking the entry behaviour.

Frequently asked questions

Does the list dispatch an order?

No. This exercise only configures manual status entry; it performs no customer or fulfilment action.

Why is B12 outside the checks?

The specified target is B2:B11. No rule for B12 is established by this exercise.

Does Stop block every paste method?

No such guarantee is made. Copying and filling require separate observation.

Can I mark a planned case as passed?

No. Keep expected behaviour separate from observations and mark unperformed cases Not run.
