The most violated rule concerns the pie chart: a circle with five or six slices cannot be read. When categories are many, a horizontal bar chart always wins; the names read comfortably and the comparison shows precisely.
Step by step: your first correct chart
- Select the data (headers included): the months and the sales figures.
- Insert → Recommended Charts; Excel's suggestions are usually sensible.
- Choose Line (it is a time series) → OK.
- Write a concrete title: not "Sales" but "H1 2026: monthly sales, thousand AZN".
- With Chart Elements (+), switch off the excess: gridlines to a minimum, and delete the legend entirely if there is one series.
The fifth step is the core of design: removing elements from a chart matters more than adding them. Every line, every colour, every label eats attention; anything not carrying the idea is excess.
Design rules: 5 conditions of a professional look
- One chart, one idea. If there are two ideas, build two charts.
- Colour is the message: the main series dark, the comparison background grey; no "every series its own colour" chaos.
- Let the axis start at zero (in column charts); a truncated axis artificially inflates differences and erodes trust.
- Renounce 3D effects: depth adds nothing and makes values harder to read.
- Show the number: in a chart with few categories, data labels work better than the axis.
A dynamic chart: let the chart grow as the source grows
The classic problem: a new month is added and the chart stays on the old range. The fix is one step: make the source a Table with Ctrl+T. Every row added to the table drops into the chart automatically. That habit saves hours of correction time in monthly report files.
A simple dashboard: three charts + a slicer
A dashboard is not a separate tool; it is orderly placement. The working recipe: keep the data on one sheet as a Table; build three key metrics from Pivot Tables (a trend, a split, a top list); create a chart from each pivot; lay them all out on a clean sheet; add one or two filter buttons with Insert → Slicer and connect them to all the pivots via Report Connections. The result: the boss clicks the filter and the three charts change together.
Let me state the boundary too: an Excel dashboard is excellent for in-team reporting; when multi-user, auto-refreshing, web-based panels are needed, moving up to the Power BI tier is right. Stretching Excel to that tier is possible, but inefficient.

A combo chart + a secondary axis: sales (columns, left axis) and the conversion percentage (a line, right axis). Insert → Combo → tick Secondary Axis. More than two scales already means two separate charts.
How do I move a chart into Word/PowerPoint?
Copy and choose via Paste Special: as a link (it updates when the source changes) or as a picture (it stays fixed). If the presentation will be sent out, the picture is safer; a link cannot break.
How should negative numbers appear in a column chart?
In a different colour: right-click the series → Format → Invert if negative. Negative values will automatically descend in a separate colour; it is the standard solution for plan-vs-actual difference charts.
What is a sparkline and when is it used?
An in-cell mini-chart (Insert → Sparklines): for showing a small trend next to each row in a table. It works not as a replacement for a big chart, but as the compromise between a table and a chart.
