Start by choosing one page. A homepage, a booking page and a buying guide should each have their own brief. Write down what someone can find or do on that specific page before drafting its description.
Separate the title from the supporting sentence
For your writing brief, give the title and description different jobs. Use the title to name the subject clearly. Use the description to explain scope, a useful detail or the next action.
Hypothetical example: a repair shop has a page about bicycle servicing. Try a title such as “Bicycle servicing in your area,” then explain which services the page covers and how to request a booking. Avoid spending the description on another version of the same headline.
Write for a reader making a decision. If your draft says “quality solutions for all your needs,” underline the words that explain the actual offer. If nothing deserves an underline, start again with the product or service name.
How do you turn a page into a useful description?
Build a small fact sheet first. Copy the page's subject, intended customer, relevant detail and available next step into a note. Draft from that note, then check every promise against the page.
Use this five-step writing brief
- Identify the task. Is the visitor trying to learn, compare, buy or book? Choose the main task for this page.
- Name the offer. Say “office cleaning” or “ceramic coffee mugs” instead of “our services” or “our range.”
- Select one useful detail. Consider material, service coverage, available formats or the questions the guide answers.
- Choose a natural next step. Invite the reader to check availability, compare options or read the instructions.
- Remove unsupported promises. Delete claims about speed, availability or savings unless the page supports them.
Search intent means what someone hopes to achieve with a search. Ahrefs recommends matching the description to that intent. Before writing, complete this sentence: “The person opening this page wants to…” Ahrefs on search intent.
Match the invitation to the destination
For a downloadable checklist, explain what it helps the reader check. If a form must be completed before access, make that step clear on the destination page. Do not write “download now” as though the file opens immediately when that is not the experience.
If the offer itself needs work, use the guide to creating a lead magnet first. Return to the description once you can explain the resource in a plain sentence.
Ask a colleague to read your draft without seeing the page. Have them describe what they expect after clicking. Compare their answer with the actual page, and revise any wording that creates the wrong expectation.
How long should the description be?
Use roughly 140–155 characters as a working range, then edit for clarity. Google sets no fixed meta description character limit and may shorten the displayed snippet to fit the device. Yoast recommends keeping descriptions around 155 characters. Google on length; Yoast's length advice.
These numbers are editing aids. They do not guarantee that every word will appear. Put the offer and its most useful detail before the closing invitation.
Shorten the right things
- Remove introductions such as “Welcome to our website.”
- Replace broad praise with a specific product or service.
- Keep conditions that affect the reader's choice.
- Use one invitation instead of several competing actions.
- Read the result aloud before checking its length again.
Try covering the final phrase with your hand. Does the remaining text still explain the page? If it does not, move the important information forward.
Do not add empty words just to fill a preview bar. When a short description feels incomplete, add a decision detail. For a product, that might be its material; for a guide, it might be the task the reader will complete.

Use these hypothetical examples as writing exercises. They describe invented offers, not client work or measured results. Check every detail before adapting one to your business.

Check the detail behind each sentence
For the bookkeeping page, confirm that service coverage and quote instructions are present. For the mug collection, check whether sizes and care information are available. For the guide, make sure the promised outline actually appears.
For a visual product, review the product page alongside the description. Use the image optimisation guide when working on the photographs. Keep the words and images focused on the same item.
For several similar products, make a worksheet with columns for product, distinguishing detail and next step. Write one row at a time. If two rows produce the same sentence, look for a meaningful difference before reaching for synonyms.
How do you add the description in WordPress?

Recognise the field in the page code

If you already use a plugin field, keep your editing process there. Ask whoever maintains the site to investigate if the saved text and the page's description disagree. Send them the exact page and expected sentence.

How should you review changes without guessing?
Choose the page and review method before changing the copy. Save the previous description, the replacement and the edit date. Note any simultaneous changes to the title, offer or page content.
