A practical daily ChatGPT routine for small businesses

1. Give ChatGPT a small, clear job

Choose a task you can review easily, such as drafting replies about your shop's delivery options. A prompt is simply the instruction you give ChatGPT. Include the situation, the facts it should use and what a useful answer looks like.

1. Pick one recurring task and note how long you usually spend on it.
2. Gather the relevant business facts, such as the service description, opening hours and delivery policy.
3. Remove customer names, contact details and payment information. Use a label such as Customer A where needed.
4. Fill in the instruction below. Keep a copy in your usual notes document.

Copy this: “Help me prepare [deliverable] for [business and audience]. Use these confirmed details: [facts]. Write in [language] with a [tone] tone. Return [format and length]. Do not invent offers, availability or promises. Ask about any missing information that would change the answer.”

2. Use three checkpoints during the day

Use these prompts at the moments when you normally get stuck. A solo retailer might start with replies. A small marketing team might get more value from turning approved product notes into a post.

1. Morning planning: “Here are today's tasks: [list], deadlines: [details] and available work time: [time]. Suggest three priorities and the first action for each. Flag anything that is unlikely to fit. Label time estimates as estimates.”
2. Customer replies: “Draft a brief reply to this anonymized question: [message]. Our confirmed policy is [policy]. Answer the question first, then explain the next step. Do not promise a refund, delivery date or exception unless the policy supports it.”
3. Content drafting: “Use these approved notes about [product or service]: [notes]. Write two short social posts for [audience]. Aim for [desired action]. Give each a different opening and one clear call to action. Do not add testimonials or unsupported claims.”
4. Before sending: choose a draft, make it sound like your business and check every operational detail. Publish or send it yourself once it is ready.

3. Review the draft and count the editing time

• Accuracy: compare prices, dates, availability and service terms with your own records.
• Promises: remove any unsupported guarantee, special offer or delivery commitment.

• Privacy: check for customer details or internal notes that should not appear.
• Action: make sure the reader knows what to do next.

1. At the end of the day, record the task, your usual time estimate, today's total time and the edits required.
2. Include time spent writing instructions and checking the result. Drafting speed alone does not show the full cost.
3. After five working days, keep the tasks that save time without creating extra mistakes.
4. For a task that needs heavy rewriting, add an example of an acceptable result and test it again.
